The Reasonable Length for Your Meeting

Meetings can be fun if its overall purposes are laid down before hand.  This can only happen when a clear agenda detailing out what has to be discussed is availed. A meeting without a clear set out purpose and agenda takes longer than necessary thereby making attendees’ chick-out each time a meeting is called.  In any meeting, people’s feelings, thoughts and ideas are very important.  When their needs are not addressed and met at the meeting, then a meeting has not accomplished its goal.

The length of a meeting depends on many factors.  To be precise:-

  1. The issues being discussed

  2. Nature of the meeting (regular, business and/or board meetings) or

  3. a crisis management meeting?

Commitment amongst the members is what in most extent dictates the length of time a meeting takes.  This can only be made possible if members are allowed to contribute in agenda creation.  Meetings should not take longer than 1 ½ hours.  Meetings achieve their goals better when they are short and precise.  One hour is the best reasonable length of time for any meeting.  This can only be made possible when such a meeting is arranged in advance and attendees are prepared.

Meeting time can be reduced drastically if the time limits are set at the beginning.  Meetings without time limits take longer than necessary and do not usually achieve their effectiveness in the end.  Attendees work well when they have time limits for discussing the listed agenda items.  This also helps in proper time management purposes.

Meetings are costly affairs, time consuming and should be properly planned in advance in-order to give attendants the chance to participate effectively.  This is one of the ways in helping the attendants achieve their needs by having the opportunity to discuss and deliberate on matters that affect their well-being.  In-order to help in saving time during the meeting, it is imperative to place the non-important items at the list of the agenda.  This helps save time by discussing the most important items first.  Meetings should be short and precise and should not take more than 1 ½ hours.
